Glossary
The La Trobe Policy Library is a list of terms and their standard definitions for policies, procedures, manuals and guidelines. Unless separately defined or the context of the policy requires otherwise then the following definitions apply to each document.
It is expected that the glossary will be built up over time and documents will gradually be converted to incorporate standard definitions as part of the normal review process.

Academic Board approves academic policies and procedures on academic and research matters including admission to degrees, diplomas and other awards, new and revised programs, teaching, learning, assessment and student conduct, research, academic promotions and academic appointments, prizes and scholarships, higher degree by research, student experience and success. The Vice-Chancellor approves administrative policies and procedures on the recommendation of the Senior Executive Group. Administrative policies are defined as those that relate to operational activities of the University including human resources, finance, information technology, records management, alumni & advancement, marketing, student administration, health & safety, risk management and compliance. where a student already enrolled in an award course at La Trobe accesses learning materials or attends classes of a subject from another award course without enrolling in that subject. means the administrative process by which a student’s enrolment is terminated (for instance because of a failure to comply with the University’s Student Fee Policy). A person or persons under the age of 18 years as defined in the Workers Screening Act 2020 (Vic). Consultants, Agency or Other Duly authorised contract signatory with ultimate accountability for the decision to contract – see Contracts Policy. University staff member or office responsible for progressing the proposed arrangement, including ensuring there are all pre-contractual steps are followed. Has the adminstrative and/or operational responsibility for the business domain’s data and other information – see Data Governance Policy. Appointed by the Data Custodian and supports the data Custodian in managing the day-to-day activities involved in data custodianship – see Data Governance Policy. means the temporary or permanent prohibition of an individual from accessing any or all University facilities and services or participating in University activities. A temporary prohibition may be for a specific period or until a condition or conditions have been met. Where a student or participant is excluded from a course, short course or subject, their enrolment in the course, short course or subject is cancelled and they must reapply for admission. Council approves governance policies and procedures. Governance policies are those which relate to matter for which Council and its committees are responsible and has not delegated (or is prohibited from doing so under the Act). Governance policies include those which relate to overseeing the effective management of the University (e.g. policies which relate to Council’s operations) and those which have a significant strategic, financial or reputational risk associated with them including the University Code of Conduct, financial investments and delegations of authority. Has the meaning set out in the Health Records Act 2001 (Vic) and is personal information about the physical, mental or psychological health or disability of an individual; about an individual’s expressed wishes regarding the future provision of health services to them; about a health service provided, or to be provided, to an individual; collected to provide a health service; about an individual collected in connection with organ or body substance donation; or that is generic information in a form which is or could be predictive of the health of the individual or of their descendants. Has the meaning set out in the Privacy and Data Protection Act 2014 (Vic) and means information or an opinion (including information or an opinion forming part of a database), that is recorded in any form and whether true or not, about an individual whose identity is apparent, or can reasonably be ascertained, from the information or opinion. Staff means any person employed by the University as per the definition in the La Trobe University Act 2009 (Vic). Student is defined in the La Trobe University Act 2009 as: means the temporary prohibition of a student from participating in University activities and accessing University facilities and services. A temporary prohibition may be for a specific period or until a condition or conditions have been met. A student’s rights will be restored, including the ability to re-enrol in the original or equivalent course or subject, at the conclusion of the suspension. Means La Trobe University unless expressly stated otherwise. General references to other universities will use a lower case “u” (e.g. university, universities) except where the word is located at the start of a sentence or in a heading.
